Bookkeeping Office Manager
Excel: 1 year (Required)
Bookkeeping / AR / AP: 2 years (Required)
Office Management: 1 year (Preferred)
Quickbooks: 1 year (Required)
Ensure timely and accurate accounts receivables/payables and sales tax communications in-house as well as with outside accounting firm. Maintain organized project filing, scheduling, and positive Client relations as the unofficial “Director of 1st Impressions”.
Essential Functions / Major Responsibilities
Perform accounting and administrative duties related to efficient and on-time maintenance and processing of Vendor/Client accounts payable/receivable transactions using firm’s Online system Ivy (ivy.co), and reconciling monthly banking via QuickBooks
Maintain effortless communication with outside Accountant/tax preparer
Maintain and submit accurate sales tax documentation, payments and reports
Utilize Ivy (ivy.co) for scheduling, allocating project hours, project agreements, and payments
Review employees’ time sheets and promptly process/submit payroll to HR company
Monitor Design staff emails for high-priority items and facilitate communication between Designers and Clients
Answer incoming calls including initial conversations as unofficial “Director of 1st Impressions”, schedule Client appointments and maintain Designers’ schedules
Actively participate in weekly team meetings
Skills & Qualifications
Minimum two years accounting/AP/AR work experience in similar industry (e.g., design/architecture firm, showroom, remodeling/construction company, etc).
Experience with construction cost codes, resale accounting, and sales tax reporting
Demonstrate proficient and high-level performance on Mac platform with QuickBooks, Excel, Word, and online interfaces
Exceptional and genuine customer service, interpersonal, and communication skills
Demonstrate strong work ethics, integrity, good judgment, and maintain high level of confidentiality
Proactive approach to problems with innovative solutions for a positive outcome for the whole team
Positive mindset with a desire to grow personally and as a company
Ability to be productive in a shared and open office environment
